Family Contract

I’m thrilled you’ve booked a Family Session with Cari Griffith Photography!

Family sessions are the heart and soul of my business, and are one of my favorite avenues to celebrate, encourage, and affirm families! Whether you’ve booked a Spring Mini-Session or a Full Family Session, you can rest assured that we will make the most of our time together in a meaningful way!

If you’re receiving this contact, that means we’ve nailed down a tentative date/time, and are ready to move forward with booking. If you’ve booked the Full Family Session, your non-refundable retainer fee of $175, is due upon booking to reserve your spot. The remaining balance will be due upon arrival on the date of the session. Electronic methods of payment are encouraged, due to ease of delivery and safety. However, if you would like to mail cash or check, email me for my mailing address. Most of my clients use the Square Cash App ($CariGriffith), owned and operated by Square, which is used by small businesses everywhere. I can also accept PayPal (CariPGriffith@Gmail.com).

The terms and conditions below are based on industry standards across the board, and will serve as our Contract Agreement for the session. Please carefully read over the terms below, and fill out the form at the end to signal your agreement to hire me as your family photographer! Please let me know if you have any thoughts, wardrobe or location questions, or ideas prior to your session! I’m happy to help in any way!

  1. Services Offered: The photography services offered for your specific session are detailed in your invoice. With each session you will receive a professional photography experience, high-quality images edited by hand according to CGP’s style and artistic vision, print ready images delivered digitally, and access to professional printing services. The amount of session time, estimated number of images, and content is detailed in the invoice according to the session chosen by the client.

  1. Payment: For sessions other than the mini-session, the client agrees to pay CGP a non- refundable retainer fee of $200 at the time of booking to reserve the date and time of their session appointment. This retainer fee comes out of the total balance of your session price. Payments can be made via Square Cash App, PayPal, or by mailing cash or check. The remaining balance is due upon arrival on the day of the session. Photographs will not be delivered until the full payment has been received. The retainer fee is non-refundable, even if the session is canceled by the client. If the session should need to be canceled/rescheduled, the retainer fee can be applied to the rescheduled session date, with an expiration date of one year. In the extreme event that CGP is no longer able to fulfill her obligations due to health, family emergency, or unavoidable situation, the family shall be notified promptly, and a refund will be offered or an experienced photographer will be hired to associate photograph the session.

  2. Session dates/times: The date/time will be agreed upon in advance, but can be rescheduled in the event of unfavorable weather conditions, illness, or other unavoidable circumstances. Scheduling availability varies, and preferred rescheduled dates may not be available. Sessions can be rescheduled up to 2 times. After the 2nd time, a rescheduling fee of $75 may be added to make up for the loss of availability. CGP reserves the right to reschedule or cancel a session at any time.

  3. Location costs/fees: If there are any costs/fees associated with the location the client has chosen for the session, the client will be responsible for those fees. For locations outside of Nashville, Jackson, and Memphis, additional travel fees may be required.

  4. Delivery of images: Images will be delivered within two weeks of the session date via high resolution digital gallery download. In the event of delivery delays, CGP will communicate an updated time frame with the client. The approximate number of images delivered is listed in your invoice, and is subject to the discretion of CGP. All images once they are delivered are final in terms of content, editing, and number. If you wish to have an image re-edited, an additional cost of $35/hr may be required. As a journalistic photographer, CGP does not extensively edit the authenticity of each image. Other than color correction and lighting and small blemish adjustments, CGP believes in the beauty of each person, as they are. If extensive edits are requested, images will be sent to a 3rd party for processing, and additional fees will be required. Please do not alter the image by cropping, adding filters, logos, or additional elements to the photographs once they are delivered. This harms the public image of CGP’s style and content.

  5. Archiving: Clients are responsible for downloading images immediately upon receiving the images, and are encouraged to store an additional copy of the images in a safe location. While CGP takes great care to archive images on external hard drives indefinitely, images are not guaranteed to be available after one year from the session date.

  6. Limit of Liability: CGP is not responsible for any injuries to person or property before, during, or after the session. The client is responsible for the actions of themselves, their families, and any additional parties included in the session. Since many locations are public spaces, all parties must be aware of the possible risks associated with any location. The limit of liability may not surpass the contracted session price. In the event that the images are undeliverable due to unforeseen circumstances, theft, equipment malfunction, or serious illness, CGP will refund the session price, and additional arrangements may be made to account for the loss. CGP is not responsible for unfavorable weather, attitudes, settings, props, decorations, or elements chosen by the client that could impact the look and feel of the photographs.

  7. Copyright/Model Release: CGP retains the copyright of the images to use for professional, publication, marketing, and personal purposes. CGP encourages clients to share their images on social media, and with family and friends! Clients can tag CGP’s social media accounts and/or websites when sharing. However, clients must have written permission from CGP to share images with publications, contests, blogs, or websites. Images may not be sold or distributed, with the exception of personal and family use. CGP often posts sneak previews of images on social media accounts. If you would like to refrain from agreeing to the public release of select images on CGP’s website, social media accounts, and promotions, you must notify CGP in writing prior to the session, and she will respect and value your privacy.

  8. Additional Printing Services: A print release is guaranteed with each session, so the client may choose a printing lab of their choice. Professional printing services are available through CGP’s professional printing lab. Refer to the Printing Guide for pricing, sizing, paper choice, and additional options.
